The Team

The Executive Operations (ExecOps) team at Assembly Four supports the organisation by promoting clarity, fostering connection, and amplifying the Executive Team (Exec). We smooth pathways so that people are pulling in the same direction with less friction.

The role

As an Executive Assistant, your core purpose is to grow Exec effectiveness by establishing, delivering, and improving the organisational and administrative systems and processes that support the effective operation of both the CEO and the Exec team as a whole.

 

This role is a trusted partner, working closely with the Executive Operations Manager to support the Exec team, improving their effectiveness and impact. By building strong relationships, leveraging your organisational and administrative expertise, and seeking out opportunities for continuous improvement, you ensure frictionless day-to-day operations of the Exec team and help drive key priorities forward.

  • Take ownership of day-to-day productivity by providing individualised daily admin support to each member of Exec, capturing tasks/commitments for follow-up, and proactively offering assistance where appropriate.
  • Be the first port of call for directing access to Exec time and attention, for team members across the organisation. This includes communicating the team’s operating procedures and setting gentle, but firm boundaries as necessary, to ensure clarity and consistency.
  • Prepare, manage, and maintain documentation, presentations, reports, and agendas, ensuring Exec are prepared for meetings and creating summaries on request to help bring them up to speed more quickly.
  • Drive the continuous adaptation and improvement of the ‘operating system’ that allows the exec team to deliver results, by identifying inefficiencies, actioning solutions, and implementing best-practice approaches.
  • Act as a sounding board and source of trusted advice for the Exec team, building strong working relationships and guiding team members in how best to meet Exec’s needs and priorities, while also maintaining the utmost confidentiality and discretion.

Your background

  • You’re ethically motivated and driven by social impact: You take an active interest in diversity and the empowerment of marginalised communities, and prioritise human rights and values as an integral part of your work on both a societal level, and in your day-to-day in the workplace.
  • You have experience in an executive assistant role, or have spent significant time in a senior administration role with a high level of task prioritisation. Experience working with multiple executives (or balancing the needs of competing stakeholders) is highly regarded.
  • You use your excellent organisation, stakeholder management, and spoken/written communication skills to deliver impact in the areas that fall within your remit. You work independently and collaboratively as needed, while asking for assistance or clarification when necessary.
  • You are diligent, patient, empathetic, and kind while under pressure, encouraging open and honest dialogue, demonstrating active listening, and creating an environment where team members feel comfortable sharing feedback and ideas.
  • You are located within Australia (preferred) or New Zealand. This role is fully remote, with the option to co-work at our Melbourne office in Collingwood if desired.
